How We Build Digital Products With You, Not Just For You

In this post, we’ll walk through how we typically approach a digital product build, using a lead generation website as the example. Think of it as a behind-the-scenes look at how we work, what to expect at each stage and how your team fits into the process.

If you’ve ever felt like your project was happening behind closed doors, with little insight into how things are moving forward, you’re not alone. At Fluent Format, we’ve been on both sides of the table – as in-house teams and as a partner agency, so we know how important it is to actually understand what’s going on and to feel like you’re building something with your team, not just waiting for it to arrive in your inbox. Check out our testimonials, hopefully they will show how our clients see us as an extension of your internal team vs an agency that hides behind closed doors.

"This is where we get on the same page about why we’re doing this and who we’re doing it for"

Phase 1: Discovery and Strategy

We’ll kick things off with a workshop-style session where we dig into your business, your market, your competitors and what’s currently getting in the way. From there we define clear goals, like growing qualified leads, adding a new product or service to the business or even improving conversion on key pages. From there we build out simple user personas so we know exactly who we’re designing for. Once that’s in place, we put together a strategic blueprint: a site structure that’s easy to navigate, messaging that speaks directly to your ideal customers and a recommended tech stack (CMS, integrations, hosting) that will support you for the long term.

Phase 2: Design and User Experience

With the strategy agreed, we move into what your product will actually look and feel like for real users. We start with low-fidelity wireframes: no fancy visuals, just layout, flow and content hierarchy. This lets us focus on the user journey first – how someone lands on your site, understands your offer and feels confident to buy your product or get in touch about your services. You’ll see these early and often, so we can tweak in short feedback loops rather than big, risky reveals. Once the wireframes are approved, we create high-fidelity designs that layer in your brand: colours, typography and visuals. If budget allows, we’ll often run light user testing on prototypes to spot friction before we write a single line of code.

Phase 3: Development and Quality Assurance

This is where everything starts to feel real. We work in short, focused sprints (usually one to two weeks). At the end of each sprint, you’ll see working features, not just status reports so that you can react to the product itself rather than guessing from documents. Project communication and tasks live in a shared dashboard, so you always know what’s happening, what’s next, and where things stand. As we build, we integrate your content, set up and connect contact forms, CTAs, and lead capture points and hook everything into your CRM or marketing automation tools so leads go exactly where they need to. If you don’t have content resourcing in-house, we can support with conversion-focused copy, video and photography direction that matches your tone of voice.

Before anything goes live, we run thorough QA:

  • Functional checks on forms, interactions, and tracking
  • Performance optimisation to keep key pages fast and snappy (which is crucial for both SEO and conversions)
  • Cross-browser and device testing
  • Security checks and data protection best practice (e.g. GDPR-aligned handling)

This all helps ensure the site is not just looks good, but stable, fast, and safe.

Phase 4: Launch and Beyond

Launch day isn’t the end, it’s the start of learning how the product performs in the wild. For deployment, we handle the technical heavy lifting. That includes 301 redirects for any old URLs, generating and submitting sitemaps, and prompting search engines to re-index the new site so your visibility is protected as much as possible. After launch, work closely with you and keep a close eye on key metrics: traffic, engagement, conversion rates, technical health, and site speed. With this data, we can move into ongoing optimisation – running experiments, testing ideas and smoothing out any friction in the user journey to increase both the volume and quality of leads over time.

A Partnership, Not a Handover.

The thread running through all of this is partnership. We bring design, development, and product thinking; you bring deep knowledge of your customers and your market. When those two sides work in sync, the result is a digital product that doesn’t just look good on launch day, but keeps working hard for your business long after.

So if you’re planning a new site or thinking about replacing something that’s no longer pulling its weight, this is the kind of process you can expect when working with us. It’s structured enough to keep everything on track, but collaborative enough that your knowledge of your business is front and centre.
